Guidance notes for using the Pavilion

 

 Instructions on how to enter the pavilion

 

For security purposes entry to the pavilion is via a closed circuit TV system.

 

All activity on the veranda and the gate leading to the veranda from the car park is subject to 24hr surveillance.

 

In order to enter the pavilion, place the plastic security card over the plastic sensor. This is located just inside the security gate and below the door bell.

 

The door will then unlock and you will be able to push the gate open. Please ensure that you close it behind you.

 

Other people who wish to enter the pavilion whilst you are there should ring the door bell.

 

If you are unable to make out their features from the TV monitor in the foyer simply open the front door and look to see who is there.

 

When you have finished in the pavilion please ensure that it is clean and that you have locked the front door.

 

You can exit the veranda by pressing the exit button situated on the wall between the front door and the security gate. By pressing this button you will release the security gate lock.

Instructions for obtaining the key to the pavilion

 

 

In order to obtain the key to the pavilion you will need to collect it from one of the committee members listed below on the day before you are hiring the pavilion.

 

 

You will need to telephone one of them and arrange a time to collect the key. The key will only be handed over to you on production of a key voucher which will be issued by the treasurer upon receipt of your hire fee, deposit and signed contract.

  

Each committee member holds a key so it does not matter which one you contact.

BEFORE EXIT RULES

 

HAVE YOU CHECKED THE FOLLOWING

 

Please ensure the following procedure is carried out:

 

Ø      Check  the fire doors in the main hall are closed.

Ø      Check all the socket covers have been returned to their sockets

Ø      Pick any litter, hoover the foyer carpet if needed. ( Vacuum cleaner is in foyer cupboard)

Ø      Take your rubbish away with you and replace bin liner in kitchen waste bin. Spare bin liners are in sink cupboard.

Ø      Ensure all floors are left clean, i.e. clean up any spillage.

Ø      ENSURE ALL TOILETS ARE LEFT FLUSHED AND THE SINKS ARE FREE FROM CHILDRENS PAINT.

Ø      Remove all perishables from the fridge.

Ø      Ensure cooker and microwave are left clean.

Ø      Clean kitchen sinks and work surfaces,, cleaning materials can be found in the sink cupboard.

Ø      Ensure tables and chairs are left where you found them.

Ø      Switch off the lights in the toilets, changing rooms, kitchen and hall.

 

Finally

 

Ø      Set the intruder alarm if authorised to do so.

Ø      Switch off the light in the foyer.

Ø      Lock the door.

Ø      Check the door cannot be opened – the handle should swivel around.

 

Reporting problems

 

If you encounter problems whilst using the pavilion please contact one of the following. If you are unable to speak to the first person you call, please leave a message on their answerphone and call the next person on the list. Please endeavour to speak to someone personally about the problem so that timely remedial action can be organised.
